P — Pipeline
Pipeline is the front-end of patient growth. This phase covers everything that creates qualified demand for the clinic — local SEO, Google Ads, referral channel strategy, and content marketing. The goal is not traffic volume. The goal is qualified PI patient demand entering a system that is ready to convert it.
Synectus owns Pipeline entirely. The clinic reviews results and approves direction, but campaign execution, keyword strategy, local search optimisation, and paid spend management are all handled by the Synectus team operating against appointment-outcome targets, not vanity metrics.
U — Usher
Usher is the intake and operational readiness phase. This is where most PI clinics lose the demand that Pipeline generates — through slow responses, incomplete intake, unverified insurance, and scheduling gaps that let interested patients drift toward competitors.
Synectus handles the entire Usher workflow: first contact response, insurance verification, appointment scheduling, patient paperwork preparation, and front-desk briefing. By the time a patient walks into the clinic, every piece of information needed for treatment, billing, and legal documentation is already prepared.
L — Look After
Look After is the clinical treatment phase — and it belongs entirely to the clinic. Synectus has zero operational role here. No Synectus process, no Synectus tool, and no Synectus involvement in any clinical decision. This boundary is explicit and intentional.
The reason this phase exists in the PULSE framework is to make the boundary visible. Synectus wraps around clinical treatment before and after — but the treatment itself stays with the clinicians who trained for it. The headline says it clearly: You treat the patient. We handle everything else.
S — Support
Support covers the post-appointment operational work that protects revenue: medical billing and coding, claims submission and follow-up, patient records management, and monthly operational reporting. This is the back-office layer most PI clinics either understaff or outsource to a generic BPO that does not understand the PI-specific context.
Synectus runs Support as a structured workflow with documented ownership and visible status. Billing does not stall because a coder is out. Records do not get delayed because nobody owns the request. Claims follow-up does not depend on someone remembering. The entire Support phase runs on systems and accountability, not on individuals.
E — Execute
Execute is the PI legal workflow layer — the phase that separates Synectus Level 2 engagements from every other agency offering in the Texas market. This phase covers LOP management, attorney-clinic communication, medical records preparation for legal cases, case status tracking, and demand letter support.
No marketing agency touches Execute. No generic BPO understands it well enough to run it. Execute requires deep PI workflow knowledge, consistent process discipline, and daily attention to case movement — and it is the phase that determines whether a PI clinic's cash flow is stable or perpetually waiting on attorney timelines.
Two engagement levels
Level 1 — Growth Partner
Pipeline + Usher + Look After + Support. The right fit for physiotherapy clinics, chiropractic practices, pain management clinics, and general practice operations that need stronger patient acquisition and tighter operational systems — but do not yet have significant PI case volume requiring the Execute layer.
Level 2 — Full Practice Operating Partner
All five phases — full PULSE. Designed for PI injury clinics in Texas where lien management, attorney coordination, medical records for legal cases, and settlement-stage workflow are as operationally important as patient acquisition and billing. Level 2 is the hardest engagement to replace because it touches everything.
